An SAP Fieldglass registration email is sent when the assignment (work order) is approved and activated. If you have not received a registration email, contact your staffing agency (the firm you are working through on contract). They will be able to advise on the status of your assignment and can resend the registration email, if necessary.

Some companies have a second authentication factor called a security ID. If you are having trouble registering due to a security ID error, contact your staffing agency (the firm you are working through on contract). Because they enter this ID, they can also confirm what was entered, and can correct it, if needed. Note that security IDs are case sensitive. For security reasons our support team cannot provide nor confirm your security ID.

This is a warning message designed to bring attention to a specific item on your time sheet. If no updates are required you can click through the message and proceed with submitting your ticket. 

While you can review your time and expenses entered in SAP Fieldglass, your payroll is processed by your employer outside the application. Contact your staffing agency (the firm you are working through on contract) for all payroll and tax questions. 

No. Task codes, expense codes, and cost centers are administered by the Program Office, and some companies allow supervisors to manage these objects for external workers. If your supervisor has the required permissions to make these changes, it would be via your worker page, in the Actions menu (Cost Center Management option), and/or the Cost Allocation tab (Add or remove Task Codes, Add or remove Expense Codes options).

Your assignment (work order) may not be configured for time entry, or it may be configured for time sheets to start generating on a future date. Contact your staffing agency (the firm you are working through on contract) to check your work order (Details tab) for the Time Sheet Type and Time Sheet Start Date. If the Time Sheet Type or Time Sheet Start Date need to be modified, your staffing agency should contact the Program Office to review.

Contact your recruiter or supervisor (generally the same person who approves your time sheet). If time sheets have stopped appearing this is typically because your confirmed assignment end date has passed, which they can confirm via your work order (assignment) page. If you are still actively working on contract, your work order should be revised or edited to extend the end date. Your recruiter or supervisor will be able to initiate this process.

The SAP Fieldglass Customer Support team is not authorized to push future time sheets to your account. You can request that your supervisor contact the Program Office for the company or organization where you are working on contract, but making future time sheets available would be at their discretion.

Though your time sheet is entered in the SAP Fieldglass application, all payments are processed outside the application by your employer (the staffing agency, or firm you are working through on contract). You should first reach out to your supervisor to request that the time sheet be approved. Once approved, contact your employer to see how any submission or approval delays might impact payroll.

Users can designate other users as proxies to act upon work items during leave. If you are concerned that your supervisor did not configure a proxy, contact your employer (the staffing agency, or firm you are working through on contract). Your staffing agency can then engage the Program Office to determine how to proceed.

If the time sheet is still pending approval you should select to Withdraw it. Once withdrawn you will be able to edit and resubmit the time sheet for approval. If the time sheet has been approved and the Actions, Revise option is present, you are able to adjust the time sheet and submit a revised time sheet for approval. If the time sheet has been approved but the Actions, Revise option is not visible, contact your staffing agency (the company through which you are working on contract). They will likely need to submit a credit/debit memo or complete a time sheet revision to correct for any errors on the approved time sheet. 

Your supervisor should first check his/her spam to make sure the message wasn’t marked as such, and should log in to SAP Fieldglass to enable work item-type emails under Preferences. SAP Fieldglass Support cannot resend these emails. You can withdraw and resubmit your time sheet to trigger another approval email to be sent. Your supervisor may sign in and navigate to Work Items to approve your time or expense sheet, even if the email wasn’t received.

From your SAP Fieldglass desktop page you can review any rejected time sheets. The name of the person who rejected the time sheet will be recorded at the bottom of the page, including the reason for the rejection, and any comments. If guidance is needed you should reach out to your supervisor.

The top portion of your time sheet calculates a daily amount of time worked based on your start and end times, as well as your breaks. In the lower portion, you need to allocate the time worked against a rate for each day, e.g. standard time or overtime. If for example you worked from 8:00 AM to 5:00 PM on Monday, with a meal break from 12:00 PM to 1:00 PM, the total number of hours worked would be eight (8). You subsequently need to allocate those hours against either the appropriate rate row in the Monday column. Contact your staffing firm to provide guidance on what qualifies as standard time, overtime, double time, etc.

Dashes in time sheet cells indicate that the assignment start date has not been reached, or the assignment end date has passed. If you believe you should enter time for a date that you are unable to enter time in, contact your supervisor regarding the process.

An SAP Fieldglass registration email is sent when the assignment (work order) is approved and activated, enabling you to create your account. If you have not received a registration email, contact your staffing agency (the firm you are working through on contract). They will be able to advise on the status of your assignment and can resend the registration email, if necessary.

SAP Fieldglass is not authorized to process name change requests submitted directly by external workers. To update your name, please contact your staffing agency or Program Office. An Administrator from the Program Office can make the necessary changes to your name.

You have received this message likely as a result of too many login attempts with the incorrect credentials. Please contact SAP Fieldglass support to re-enable your login and further assist with your credentials if necessary.

Yes, during registration for a new assignment (work order) you will have the option to use your existing credentials - simply enter your existing username and password. Note that once linked this way you cannot unlink.

Suppliers can register in two ways. First, where a client (buyer) invites a supplier, an initial invitation to sign the Contractor Access Agreement is released to the contact specified by the buyer company. Once signed, access to an initial administrator user is granted. In the second way, suppliers select the Register here to become a new supplier option on the sign-in page. This method allows you to sign the Contractor Access Agreement, and subsequently publish your company’s information in our Storefront, a marketplace where SAP Fieldglass clients can shop for prospective suppliers, as well as services they offer. Contact your company’s internal administrator(s) if you have questions, or if require access.

If you will be serving as the first (administrator) user for your company, and are registering to serve a new client relationship in SAP Fieldglass, you should reach out to your contact(s) within the client Program Office. They will be able to resend your invitation to register. If a colleague (administrator) within your company or organization created an invitation to register for you, you should reach out to him/her to resend the invitation.

Administration of all supplier user accounts is the responsibility of your company’s administrator(s). SAP Fieldglass Support is not authorized to create user accounts. If you believe you require access you should reach out to your company´s internal administrator to request that an account be created for you.

No. Name update requests should be directed to the Program Office. Include your name, your SAP Fieldglass username, the worker’s SAP Fieldglass Worker ID, name as it currently displays, and name as it should be displayed.

It depends on the job seeker status. If the option is available, you should select Actions and Withdraw to withdraw the record. Once withdrawn, that record will not be counted against the maximum number of submissions for the job posting (if there is one). If the job posting is still in submitted status, you will be able to resubmit the job seeker.

Yes! From within your SAP Fieldglass account, select the Help (?) icon, then Training Courses. Register to attend a live training with SAP Fieldglass.

Yes! A Reporting Overview course is available within the Help (?) menu, Training Courses section. From the Analytics menu, the All Reports section, there are also several predefined reports available that will suit many basic needs.

You must be an active SAP Fieldglass Administrator for your company in order to request integration automation. Note that usage of certain transactional integrations may require approval of your customer’s program management office (PMO). Our support team can help you to facilitate that conversation.

When you submit your request, please include your full name, your email address, telephone number, the legal name of your company, your SAP Fieldglass company code (visible in the SAP Fieldglass Admin menu, Company Details section), your username, the name of the customers in scope for the integration, and a description of the process(es) you are looking to automate.

SAP Fieldglass is committed to protecting the security of our customers’ data. As such, SAP Fieldglass requires that all collaboration be directly with your firm.

SAP Fieldglass will make available at your request any portion of our standard suite of front and back office integrations. To automate a specific process, please contact Support to see if one of our standard integration connectors (or a report) may be suitable. 

No customization of our standard suite of supplier integrations is possible. All development effort is to be undertaken by your company, and not by the SAP Fieldglass support team. If you are not able to use SAP Fieldglass standard routines, please send us your suggestions for potential future supplier integration offerings.

Once proper credentials are issued and configuration is completed, the client system is enabled to call the SAP Fieldglass webservice to trigger the respective upload or download connector/routine.

Please note that your company is responsible for any customer data transferred from the application. You must remain fully compliant with your Contractor Access Agreement (or End User Agreement), which grants your usage of and access to the SAP Fieldglass application.

The timeframe will vary based on the request. Our support team is generally able to configure the integration in a test environment for validation within a few business days of receipt of all necessary information. Test environments will contain a copy of production data that will allow us to test connectivity to your endpoint. Provided all development resources are first identified on the supplier side, most standard integrations should be able to be deployed in the production environment within two (2) weeks.

Certain supplier front and back office processes can be integrated via the SAP Fieldglass suite of standard supplier integration connectors. Contact us for an overview of the offerings and requirements.

The most common reason for a system email to not be received is spam filters. If you have confirmed the message was not marked as spam, please sign in to your SAP Fieldglass account, click your name, then My Preferences. In the Messaging section click Edit to make sure you have selected all proper message categories. If you still aren’t receiving a message you would expect to. Please include the SAP Fieldglass ID for the record where the email is missing, and specify the activity or action you believe should have triggered the message, along with an example message.

Other common causes for non-receipt of messages include:
1. Messages for that activity and module are disabled by the client (buyer)
2. The account (list of client sites) associated to your profile is not associated to the site for the record in question, or
3. A mail throttling or whitelist policy maintained by your IT/email administrator needs to be adjusted.

When an invitation is released to serve a client (buyer), the option to link to an existing account becomes available. If linked, any clients you serve will be under a single SAP Fieldglass supplier instance (or company code). Please note that once linked the link cannot be undone, and if the accounts are not linked during registration, the option to link is no longer be available.

There is also user account linking, which allows one to easily switch between user profiles (serving different customers), if your administrator prefers to keep your supplier instances separate.

In many corporate environments SAP Fieldglass accounts are configured for single sign on (SSO). Contact your company’s program office for the URL needed to access the SAP Fieldglass application.

If you're certain SSO is configured for password authentication, on the application sign-in page, click Assistant and then select I forgot my password. You will be prompted for your username. You will receive an email to the address on file with a link to reset your password. Check to ensure the email is not marked as spam. 

Hiring managers’ accounts are often configured to authenticate via a single sign on (SSO) integration. You may already have an SAP Fieldglass account and simply need to confirm the URL needed to access the application. Your company’s program office will be able to confirm your authentication form (SSO, or password authentication), or gain access to the SAP Fieldglass application, if needed. 

If your invitation has expired, please contact your company’s Program Office for a new one to be resent. Oftentimes the contact information will be present in the footer of the invitation itself.

Sign in (check for a link in the message you received) and navigate to your Work Items list. Click the object ID to be taken to that object directly, and then click the Approvals / Audit Trail tab. This will outline the approval group used for the object, and should confirm your relationship with the record (and why you were selected as the approver). If you are not the correct approver, you should reach out to your company’s Program Office.

No. The SAP Fieldglass Customer Support team is unable approve or reject items on a user’s behalf, and is unable to add a proxy to your profile. If you plan to be out of the office, you can sign in, click your name, then My Profile. A proxy can be added to act upon the work items you designate during your absence by clicking the Edit option in the Proxies section. If you are already on leave and have work items to act upon, contact your company’s Program Office.

Error messages during approvals generally relate to remaining spend on a work order or statement of work, or missing associations (cost centers, sites, and/or business units). If unsure as to the cause of an error message, your Program Office should be able to quickly identify the reason for the error.  You may also request assistance from the SAP Fieldglass Customer Support team here. Please include the SAP Fieldglass object ID, as well as the exact text of the error message you have encountered in your request.

Sign in and navigate to the Workers list view. Click the worker ID, then the Cost Allocation tab. Select the appropriate cost center(s) and click Change Supervisor. Select the name of the new supervisor, and be sure to select Reassign pending Work Items so that the item pending approval is routed to the new supervisor, then select Update. If the option to Change Supervisor is missing from the Cost Allocation tab, you should reach out to your company’s Program Office to update the record. 

This process differs from company to company, and by record type, i.e. contingent worker, SOW worker, and profile worker. First, check if you have the appropriate permissions by navigating to the record in question to review what actions are possible.

Contingent and profile workers can, depending upon user role permissions and company processes, be revised by hiring managers. SOW workers must be revised on the supplier side of the application. For procedural guidance on how to revise a worker record, contact your company’s Program Office. 

If your worker’s name is incorrect, please contact your company’s Program Office, as they have permissions to edit the name on their end.
